Personal Administrative Assistant
Hours: Monday thru Friday 11am to 8pm with 1 hr lunch break.
Occasional Saturdays or Sundays
Duties:
1. Adult and children’s schedule – keep updated, get printed on time, and make sure it is correct.
2. Online Calendar for kids and adults – keep updated, make sure it is correct and add or subtract any classes, events parties etc.
3. Weekly emails via constant contact. Make sure appropriate emails go to appropriate lists. Make and send weekly weekend emails.
4. Write monthly newsletter.
5. Help plan and organize Bea Hive Events on weekends that are not rented. Make flyers and help distribute to students all the info of whatever upcoming campaign or event we have.
6. View and approve flyers made by professional graphic designer.
7. Coordinate with Beatrix and Phillip all working functions of The Bea Hive and Latin Dance Store and help everything run smoothly.
8. Help make minutes and coordinate monthly staff meetings for employees as well as instructors
9. Help with employee incentives and bonuses to bring in additional business.
10. Make sure all kids classes are kept organized and structured – collect dues at appropriate times and know how to properly prorate when needed.
11. Be in the studio during ALL kids’ classes to make sure everything is running smoothly.
12. Keep in contact with instructors and keep them informed of everything that is expected of them.
13. Keep office files organized – maintain documentation of income and expense, balance checkbook and help make appropriate budget and help me keep my expenses where they need to be.
14. Write checks for all instructors on a weekly basis for classes. Do payroll for all employees in store and in studio. Monitor and pay instructors for private classes.
15. Follow up with studio rental leads and get details organized and squared away so everything runs smoothly.
Proposed Pay Scale:
$9.00 per hour base pay. 1099 tax status for 90 day probationary period.
Commission for New child sign up, new dance cards, Private Lesson Packages over 5 lessons, studio rentals.
Amounts:
New child sign up: $10.00. This includes child and siblings. Meaning if someone comes and signs up more than one child in a family – you get $10.00
New dance cards – $10.00 – only for new sign ups. Repurchases do not apply.
Private lesson Packages of 5 or more lessons – $25.00
Studio rental totaling more than 1000.00 - $100.00
